Your screen and a sheet of printed paper produce color in fundamentally different ways. Soft proofing is the industry's answer to that mismatch β€” and understanding it will save you from expensive surprises.

Why a screen and a printed sheet will never match perfectly

A monitor produces color by emitting light directly β€” red, green, and blue light combining to create every color you see, glowing from behind the glass. A printed page produces color by reflecting ambient light off pigment on paper, which is an entirely different physical process with a narrower achievable range, especially in bright, saturated colors and deep, rich darks.

This is why even a perfectly calibrated monitor showing an accurate representation of your file will still look different from the eventual print β€” not because something is wrong, but because emitted and reflected color are fundamentally different phenomena.

Simulating the print, on your screen, before you order it

Soft proofing uses the specific ICC profile for your chosen paper and printer combination to simulate, on your monitor, how the image will actually look once printed on that paper. It essentially compresses your file's colors down to what that particular paper and ink combination can achieve, and shows you the result.

This is where you catch gamut clipping β€” colors in your original file that fall outside what the paper can reproduce β€” before they surprise you as flattened or shifted tones on the physical print. Software like Photoshop and Lightroom include built-in soft-proofing tools that overlay a paper's ICC profile directly onto your working image.

What to actually look for

Most soft-proofing tools include a gamut warning display that highlights, often in a bright flat color, exactly which pixels fall outside the target paper's reproducible range. Large highlighted areas in your most important colors β€” skin tones, a signature saturated blue, deep shadow detail β€” are worth addressing before you print.

Different papers have meaningfully different gamuts. A glossy or luster paper generally reproduces a wider color range and deeper blacks than a matte or textured cotton rag paper, which is one of the practical reasons paper choice affects color outcome, not just surface feel.

Why matte papers compress color the most

Matte and heavily textured papers scatter reflected light more than smooth glossy or satin surfaces do, which is part of what gives them their soft, non-reflective look. That same light-scattering property reduces the maximum achievable black density and overall dynamic range compared to a glossy surface, because some of the light that would otherwise appear as deep black is instead diffused.

This isn't a flaw β€” it's a genuine aesthetic trade-off many artists prefer, particularly for painterly or documentary work where a glossy surface would feel too commercial. But it does mean a file optimized visually on a bright emissive monitor can look noticeably softer in contrast once printed matte, which is exactly the kind of shift soft proofing is designed to reveal ahead of time.

Soft proofing won't make your screen and your print identical β€” no software can do that β€” but it will stop you from being surprised by the difference.
